How it works
From six systems to one trusted dashboard in four steps.
Most setups take two to four weeks from the day access is granted. After that, the work is ours: syncs, checks, the weekly snapshot, the monthly review and every change you ask for.
01Week 1
Connect
| You | Your admin creates read-only access to each system using our one-page checklist. Fifteen minutes per system, typically. |
|---|---|
| We | Test each connection, confirm the fields we need, and list anything that needs a vendor approval or a scheduled export instead. |
| You get | A connection log: every system, the access method, who created it and how to switch it off. |
02Weeks 1 to 2
Centralize
| You | Nothing. This step is ours. |
|---|---|
| We | Load your history, then set scheduled pulls that ask only for records changed since the last run. Every run is logged with its row count and checked for gaps. |
| You get | A database that belongs to your business alone, with your full history in one place. |
03Weeks 2 to 4
Define and build
| You | One working session to agree the metric rules and targets, and one to review the first draft. |
|---|---|
| We | Write each definition, build the dashboard by location, team and source, and reconcile every headline number to your system of record. |
| You get | Your live dashboard, a written metric glossary, and a signed-off reconciliation. |
04Every month
Review
| You | Thirty minutes on a call, and any change requests along the way. |
|---|---|
| We | Watch every sync, write your one-page review, make the changes you ask for and keep the change log. |
| You get | A weekly snapshot, a monthly review and call, and a dashboard that keeps up with the business. |
Before go-live
The reconciliation step.
Before anyone relies on the dashboard, we compare each headline number with the report your team already trusts: the CRM's own count, the accounting close, the platform's export. Where they differ, we write down why. Often the difference is a definition (a cancelled job, a duplicate lead, a refund dated differently), and we agree which rule wins.
You sign off the reconciliation. Only then does the monthly fee start.
What we need from you
- An admin for each system who can create a read-only key, connected app or scheduled export
- One owner on your side who signs off the metric rules and targets
- Your current reports, so we can match them and explain any differences
- Thirty minutes a month for the review call
What we never need
- Anyone's password
- Write access to any system
- Customer, student, donor or patient contact details for totals
Next step
See your own numbers on one screen.
Twenty minutes: your systems, the five or six numbers that run the business, and what a first dashboard would cover. No slides.
On the call
Which systems hold the numbers, who needs to see them, and how often. You leave with a written scope for a first dashboard and a quote within two business days.
